Old Reports - Product by Customer

The Sales by Product report (Tools → Old Reports → Sales Analysis → Product by Customer menu) only includes the default stock item type. It does not include any other stock item types (e.g. ten (10) stock item types i.e. Sales, Sales (No Stock), Purchases, Purchases (No Stock), Financial Entry, Option Item, Option Item (No Stock), BOM (Bills of Materials), BOM (Production), Linked Sale).


The Product by Customer report (Tools → Old Reports → Sales Analysis → Product by Customer menu) shows 0 for amounts / quantities and QTY=0 in the Gross Profit % columns for Credit Notes.

This option allows you to view and analyse the sales of your Products by your debtors (customers). This report may be retrieved on a summarised level to see the totals of your Products sold to each of your debtors (customers). You may view the detail of your sales for each of your debtors (customers), and analyse the Quantity, Net Sales Amount and Gross Profit of the Products that was sold to them.

This report summarises or lists all the Invoices, Point-of-Sale Invoices and Credit Notes issued for each stock item or product within a selected period, or range of dates, for each selected debtor (customer) account. You will be able to analyse the stock quantities, total sales, and gross profit amount and gross profit percentages for stock items sold and returned on sales Invoices and Credit Notes.

Print Product by Customer Reports

To Generate a Product by Customer Report:

1.Click on the Tools  → Old Reports → Sales Analysis → Product by Customer menu.

2.The Product by Customer Options screen is displayed:

3.Send Report to - Select the output method (screen, printer, file, e-mail or fax).

4.Select the following options:

a)Sequence - Select to list the Stock Items according to the Stock Code, Stock Description and Stock Group 1 and 2 (Reporting Groups 1 and 2).

The description of Stock Group 1 or 2 you have entered on the Reporting Group Name field on the Stock Groups tab on the Setup → System parameters → Groups menu, may be reflected in this drop-down list.

b)Show Details - If this field is left blank, you will view the totals for the quantities and amounts of the Products sold to each of your debtors (customers).

If this field is selected, the detail of the Products (the quantity and amount), as well as the Gross Profit percentage will be displayed for each individual Product. The total for each product, as well as a grand total of your total sales, will be displayed.

c)Show All Items - Select to view all stock items, including those with zero values, within the selected range of stock items.

d)From Product ... To - Select the stock code, or a range of stock codes, to include in the report.

e)From ... To - Select the start and end date to include in this report.

5.Click on the OK button to send the report to the medium selected in the Send Report to field.

View Product by Customer Reports

An example of the Product by Customer report, reflecting the details, is:

This report consists of eight (8) columns, reflecting the following information:

1.Debtor Account Code or Number - The debtor accounts to which stock items were sold or who has returned the stock items will be listed according to the account code or account number as headings for the details or summary.

2.Debtor Account Description or Name - The name or description of the debtor (customer) account.

3.Stock Code - The selected Stock Item Code.

4.Stock Description - The name or description for the selected Stock Items will be displayed.

5.Quantity - The quantities of the stock items as selected on each invoice.

6.Net Sales Amount - This is the total amount of the selected selling prices (selling price 1 /2 / 3) for all the selected stock items on the Invoice, Point-of-Sale Invoice or Credit Note.

7.Gross Profit - This is the difference between the Net Sales Amount and the Net Cost Amount for the selected stock items on the Invoice, Point-of-Sale Invoice or Credit Note.

8.Gross Profit % - The percentage of the Gross Profit for the Invoice, Point-of-Sale Invoice or Credit Note.

These amounts or totals are exclusive of VAT/GST/Sales Tax.

Totals will be displayed for each of the debtor (customer) accounts to which the selected stock items were sold or from whom the returns were received. A grand total for the stock items included in this report, will also be displayed.
