This option allows you to view the activity of your Stock Items as at a specific date. This report will reflect the activities of transactions for your Stock Items for a selected period. This is an important management tool, as Stock Items can be tracked in such a way to determine the best and worst moving stock items. If used correctly, it can assist you with the effective management of your Stock Items as to keep the right quantities and quality of stock on hand to meet your market requirements.

This report summarises or lists quantities and Sales amounts and the Cost Prices (average or latest cost), the Gross Profit Percentage for This Year, for each accounting period or month in the financial year. The number of Accounting Periods in a Financial Year is usually 12, unless you have selected the number of Accounting Periods to be 12 or any number less than 12 in the Setup → System parameters → Reporting Dates menu. If you have processed documents in the previous financial year, the Stock movements will also be displayed for Last Year.

Print Stock Activity Reports

To Generate a Stock Item Activity Report:

1.Click on the Tools  → Old Reports → Stock → Activity menu.

The Stock Activity Options screen is displayed:

2.Send Report to - Select the output method (screen, printer, file, e-mail or fax).

3.Select the following options:

a)Sequence - Select to list the Stock Items according to the Stock Codes, Stock Description, Stock Groups 1 or 2 (Reporting Groups 1 and 2).

The description of Stock Group 1 or 2 you have entered on the Reporting Group Name field on the Stock Groups tab on the Setup → System parameters → Groups menu, may be reflected in this list.

b)From Stock Code ... To - Select the stock code, or a range of stock codes, to include in the report.

c)New Page per Item - If this field is selected, each account will be printed on a new page.

d)All Stock Item - Select to view additional information for each selected stock item.

e)Show All Stock Items - Select to view all stock items, including those with zero values, within the selected range of stock items.

4.Click on the OK button. The report will be sent to the medium selected in the Send Report to field.


View Stock Activity Reports

An example of the Stock Activity report, reflecting the details, is:

The detail for this report is displayed in nine (9) columns. The first column is the Accounting Periods, and the next four columns display the Quantity, Amount, Cost Price and Gross Profit for the Items sold This Year. The last four columns displays the quantity, amount, cost price and gross Profit for the Items sold Last Year.

The details in the columns are:

1.Stock Item Code and Periods - The Stock Item code and description will be displayed as headings. The periods as set up or entered in the Setup → System parameters → Reporting Dates menu will be listed.

2.Sold this year -

a)Quantity - This is the total net quantity of the Invoices, Point-of-Sale Invoices and Credit Notes created and updated to the ledger in the displayed period of the current financial year (This Year).

b)Amount - This is the total amount or value of the selling prices (exclusive of VAT/GST/Sales Tax) for Invoices, Point-of-Sale Invoices and Credit Notes created and updated to the ledger in the displayed period of the current financial year (This Year).

c)Cost - This is the total amount or value of the cost prices (exclusive of VAT/GST/Sales Tax) for Invoices, Point-of-Sale Invoices and Credit Notes created and updated to the ledger in the displayed period of the current financial year (This Year). These cost prices may be based on the Average or Latest Cost, depending on the parameters and settings for Cost of Sales.

d)GP% - Gross Profit Percentage - This is the Amount (selling prices) less the Cost amount, displayed as a percentage.

3.Sold last year -

a)Quantity - This is the total net quantity of the Invoices, Point-of-Sale Invoices and Credit Notes created and updated to the ledger in the displayed period of the previous financial year (Last Year).

b)Amount - This is the total amount or value of the selling prices (exclusive of VAT/GST/Sales Tax) for Invoices, Point-of-Sale Invoices and Credit Notes created and updated to the ledger in the displayed period of the previous financial year (Last Year).

c)Cost - This is the total amount or value of the cost prices (exclusive of VAT/GST/Sales Tax) for Invoices, Point-of-Sale Invoices and Credit Notes created and updated to the ledger in the displayed period of the previous financial year (Last Year). These cost prices may be based on the Average or Latest Cost, depending on the parameters and settings for Cost of Sales.

d)GP% - Gross Profit Percentage - This is the Amount (selling prices) less the Cost amount, displayed as a percentage.

These amounts or totals are exclusive of VAT/GST/Sales Tax.

The last four columns - Sold last year will only display quantities, amounts and gross profit percentages, if you have closed a financial year in the Tools - Global Processes - Do Year End menu.
