Old Reports - Sales by Customer

The Sales by Customer report (Tools → Old Reports → Sales Analysis → Sales by Customer menu) includes unposted sales documents (i.e. Invoices and Credit Notes). All other nine (9) Sales Analysis reports (Tools → Old Reports → Sales Analysis menu) as well as the (Reports menu) excludes the unposted sales documents (i.e. Invoices and Credit Notes).

This option allows you to view and analyse your Sales by Customers (Debtors / Clients). This report may be retrieved on a summarised level to see the totals of Invoices and Credit Notes for each debtor (customer), or to view the details of your Invoices and Credit Notes for each debtor (customer).

This report summarises or lists all the Invoices, Point-of-Sale Invoices and Credit Notes issued to each debtor (customer) account within a selected period or range of dates. You will be able to analyse the sales invoice totals and credit note totals, and the net total for each selected debtor account.

Print Sales by Customer Reports

To Generate a Sales by Customer Report:

1.Click on the Tools  → Old Reports → Sales Analysis → Sales by Customer menu.

2.Send Report To - Select the output method (screen, printer, file, e-mail or fax).

3.Select the following options:

a)Sequence - Select to list the Debtors (Customers) Accounts, according to the Account Number, Account Description and Debtor Group 1 and 2 (Reporting Groups 1 and 2).

The description of Debtor Group 1 or 2 you have entered on the Reporting Group Name field on the Debtor Groups tab on the Setup → System parameters → Groups menu, may be reflected in this drop-down list.

b)Show Details - If this field is left blank, you will view the totals of documents (Invoices and Credit Notes) issued for each debtor (customer).

If this field is selected, the detail of the Invoices and Credit Notes (the date and number), as well as the Gross Profit percentage will be displayed for each individual Invoice and Credit Note. The total for each Invoice and Credit Note and for each debtor (customer), as well as a grand total of your sales, will be displayed.

c)From Account ... To - Select the debtor (customer) account, or a range of accounts, to include in the report.

d)From ... To - Select the start and end date to include in this report.

4.Click on the OK button to send the report to the medium selected in the Send Report to field.

View Sales by Customer Reports

An example of the Sales by Customer report, reflecting the details, is:

This report consists of eight (8) columns, reflecting the following information:

1.Debtor Account Code or Number - The selected debtor (customer) account code or numbers will be displayed. This report will be listed according to the selected Debtor / Customer Account Codes or Numbers.

2.Type - The type or name of your sales documents (e.g. Invoice, Credit Note or Point-of Sales Invoice) will be displayed for each of the selected Debtor Accounts.

3.Invoice Number - The Invoice, Point-of-Sale Invoice or Credit Note number as generated by TurboCASH.

4.Invoice Date - The date when the Invoice, Point-of-Sale Invoice or Credit Note was generated.

5.Net Sales Amount - This is the total amount of the selected selling prices (selling price 1 /2 / 3) for all the selected stock items on the Invoice, Point-of-Sale Invoice or Credit Note.

6.Net Cost Amount - The total cost price (average or latest cost) for all the selected stock items on the Invoice, Point-of-Sale Invoice or Credit Note.

7.Gross Profit - This is the difference between the Net Sales Amount and the Net Cost Amount.

8.Gross Profit % - The percentage of the Gross Profit for the Invoice, Point-of-Sale Invoice or Credit Note.

These amounts or totals are exclusive of VAT/GST/Sales Tax.

Totals will be displayed for each type of document (Invoices and Credit Notes) for each of the selected debtor (customer) accounts, and a grand total for all the debtor (customer) accounts included in this report.
