When processing transactions in batches and documents, the Open item link for a specific creditor (supplier / vendor) account, may be launched to link and allocate or match transactions specific transactions for open item creditor (supplier / vendor) accounts. Some of these options, is as follows:

1.Batch entry - Select transactions on the "Open item selection" screen when processing debit transactions for creditor (supplier / vendor) accounts and match them to credit transactions, in the Payments batches, Returns batches, etc.

2.Batch entry - Select from Select from account open item list context menu option.

3.Documents - "Documents list" screen - context menu - Others Open item link context menu option. 

The Transaction amount and the Due amount is listed on the following screens:

1.Transactions tab of Open item link. 

2.Documents - Transaction total amount of the Document and the Due (Outstanding) amount.

3.Transactions tab of selected creditor (supplier / vendor) accounts - If the "All" option is not selected - Only those transactions with outstanding amounts will be listed.

The following Transaction list reports on the Reports Creditors Transactions menu may help to manage open item links:

1.Transaction list - This report lists all the transactions in documents and batches which are posted (updated) to the ledger. All transactions will be listed irrespective of open item links.

2.Transaction list - Open item - This report lists only those outstanding transactions in documents and batches which are posted (updated) to the ledger. Any debit amounts, which are not linked to credit transactions, should be processed in Open item link. Only the transactions with outstanding balances (e.g. partial settlement) or outstanding Purchases will be listed. Payments for these outstanding Purchases is still payable. In some cases an Purchases may be disputed.  

When processing transactions in batches and documents, the transactions can be linked or allocated to specific transactions. 

You may need to edit these links in the Open item link on the Action ribbon.  

The "Open item link" for a specific creditor (supplier / vendor) account may be opened with a double-click from the Totals tab or the Transactions tab on Open item link.

An example where no (or not all) debit transactions were linked (allocated / matched) to credit transactions of a selected creditor (supplier / vendor) account, is as follows:

The "Open item link - Statement" option displays the transactions of the selected account (i.e. creditor (supplier / vendor) account in a Statement view.

Context menu 

Right-click on a selected transaction on the list to "Unlink" selected transactions from the context menu. 

The following Creditor ageing reports is available: 

Balances detail - Displays the reference, date, amount and description for each transaction. The Total outstanding as at the Date of ageing is split to the number of days specified in up to 3 periods. 

Balances detail history (open item) - This is similar to the Balances detail report, but it displays the outstanding amount and TransactionID.

The following Creditor remittance advises is available: 

Creditor remittance advises - The statement will print all transactions. It does not use the Open item link feature.

Creditor remittance advises - Outstanding - The statement will print only the outstanding transactions. Transactions linked in the Open item link feature, will not be listed.

The debit transactions which are linked to specific credit transactions of the same value, will not be displayed. If a transaction of a different amount is linked to a specific transaction, only the outstanding amount (difference) will be listed.

For example:

Payment - 108 - 2021/03/30 - 750.00 - Debit transaction in the Payments batch (journal) is linked to the supplier invoice PU002 - 2021/03/06 -1725.00 as a partial payment.

The outstanding amount for this transaction is 975.00 still due to the creditor (supplier / vendor). (1725.00 minus 750.00). Only 975.00 will be listed as an outstanding amount for supplier invoice PU002.

Supplier return SR000004 - 2021/06/26 - 1725.00  is linked to Purchase PU000007 - 2021/06/25 - 1725.00.

Supplier return SR000004 and Purchase PU000007 will not be listed on the "Transaction list - Open item" report as well as the "Creditor remittance advise - Outstanding" as the outstanding amount for both documents is 0.00.
