TurboCASH Tip

It is recommended that the Ledger analyser and Ledger analyser 2 are used to print and view the Trial balance, Income statement, Balance sheet, Budgets, Budget vs actual, This year vs last year reports.    

Debtor reports are those reports, which you may generate to view and manage your individual Debtor (customer / client) accounts. Each of the Debtor (customer / client) accounts is kept in the Subsidiary ledger or the Debtors ledger. The total outstanding amount of all your individual Debtor (customer / client) accounts is reflected in the Debtors control account in the General ledger. TurboCASH4 stores transactions and balances for up to two years. Debtor reports consists of two components: 

1.Debtor master files - The Address, Contact and Accounting information may be listed to view if the details of the Debtors are correct. The Information contained in the Debtor listing report is used to list all your master records (Debtor (customer / client) accounts and details). TurboCASH4 uses this information to generate labels (if you define labels for your Debtor (customer / client) accounts) and to reflect the Debtor information on Age analysis, Debtor statements and Transaction reports. 

2.Financial reports - Each and every transaction (which is updated (posted) to the ledger) is reported in the Transaction reports. Transaction reports are a register of all the transactions (Sales, Sales returns, Payments received and Adjustments) with your Debtors. In addition to the Transaction report, you may manage the ageing of your Debtor (customer / client) account balances and transactions and generate Statements to inform your Debtors of the amounts they owe you. 

To access the Tools  → Old Reports → Debtor menu: 

1.Click on the Tools  → Old Reports → Debtor menu. 

A list of the five (5) reports will be displayed. The available shortcut keys to access the options from your keyboard are indicated next to the menu option. 

2.Select any of the reports. The Report options screen for the selected report will be displayed on which you may select the ranges and the options to include in your reports. 

a)Age analysis - This option allows you to see the break down of the outstanding amounts your debtors owe you in current 30, 60 and more than 90 days, or any other criteria you may define.

b)Listing - This option will list all the debtor (customer / client) accounts and details.

c)Print labels - This option will allow you to print labels for your debtors. 

You need to have defined the labels in the Setup → Preferences → Define Labels menu. 

d)Statements - This option allows you to print statements, which you normally dispatch to your debtors reflecting the outstanding amounts.

e)Transactions - This option allows you to see the detailed transactions in your debtors' ledger. This is the register of all transactions entered for your debtors.

When you click on the OK button of the Debtor Age analysis, Debtor statements and Debtor Transaction report options screens, TurboCASH4 will check for unposted items and display the number of unposted Batches and Documents. You may select to view the details of the unposted Batches and Documents. 

These unposted batches and documents contain transactions, which will NOT be included in your reports. 

You may turn this facility off in the Setup → Preferences → System parameters  menu.
